COVID-19 has advanced digital transformation, which has recently become a prominent topic. Many business owners are aware of it, but do you really understand what technologies are in place and how to use them to improve work efficiency?
Here's an example of a case study from one of our customers. We received an RPA request from a business service company. The client wants to improve their operational efficiency by improving service quality (e.g., reducing errors) and speeding up job processing time, particularly for bulk jobs. They have 50 jobs waiting to be begun, each of which entails keying data into their operation system, using the same data to make an excel spreadsheet with a specified structure, producing a PDF letter, emailing the letter to a person/business, and then recording it in the excel spreadsheet again as a diary.
This bulk job is quite time-consuming for the client, and human errors may be unavoidable if their operators do the jobs via traditional methods. Each job is worth a small value and may cost an operator 2-3 days to complete the 50 jobs, which drags down the client’s average performance to other customers, and therefore may not be worth for the client to accept these 50 jobs. However, considering the job volume, it is still an attractive deal for the client.
With 60018 Technology, we developed an RPA bot to automate this procedure for the client. The bot only took a minute to complete all 50 jobs without any errors, compare with 2-3 days’ worth of manual effort. And this bot has an unlimited useful life, as long as the client’s system and the process are unchanged.
RPA relies on pre-defined business rules and structured data to perform, it interacts with software to perform tasks just like human, but more quickly and without error. It potentially enables staff to spend time and focus on more valuable tasks. Consider the following for successful RPA utilisation:
1) Does the process you want to automate involve a lot of repetitive tasks?
2) Is the data digital and structured? (For example, in an Excel spreadsheet)
3) Is there a clear rule for the process to be automated? (Low or no exception rate)
If your answer is yes to all of the above, congratulations, it is very likely that your operational efficiency can be improved by RPA.
